The Office Administrator’s main role is to keep the organization of the company running smoothly. They will be primarily the right hand of the Estimator & Project Manager. The Estimator & Project Manager’s role is to communicate with new and existing customers to provide pricing, get the project approved, schedule and make sure the job is completed as planned. Once projects are approved, the Office Administrator would then need to prepare the work orders, order materials, and prepare the materials for a quick start the following morning. Immediately upon job completion there will need to be an invoice created. It will be expected that the office is organized for maximum efficiency when preparing and restocking trucks. There is a responsibility for tracking key metrics that you will need to generate for weekly, monthly, quarterly, and yearly reports. Along with these roles, there will be general company administration related to Taxes, HR, Vehicle, Accounts, and IT.

All paperwork and materials are prepared for all approved upcoming projects and can maintain an organized office inventory, so we are prepared for spontaneous small projects. |
3 | COST MANAGEMENT:
Order cost of materials and overhead items only when excess stock is used up. When orders are needed, finding the most cost-efficient place to buy and pickup/ deliver. |
4 | FOLLOW-UP WITH TEAM & DEADLINE MANAGEMENT
Use alerts, reminders, and calendars to make sure that opportunities, projects, communications, and administrative tasks get done on time. This includes making sure the team is following up with customers and deadline management. |
5 | SAME DAY/NEXT DAY INVOICING:
Send invoices for deposits, progress, and completed projects same day or the following day. No later. |
