We have a unique design and installation process to provide network cabling for IT professionals and homeowners who value quality and take pride in showcasing their IT racks. Our goal is always to impress our customers with our rack work and to be relational with them during the process. We believe everyone on the team should always be looking for ways to improve. We praise “out of the box” thinking that results in quicker, neater, and smoother work but we do expect that proper protocol be always followed. This is a Team. If weekend work does come up, then we offer it to those who are interested at 1.5/wage. Job Description – Office Administrator

General Overview:

The Office Administrator’s main role is to keep the organization of the company running smoothly. They will be primarily the right hand of the Estimator & Project Manager. The Estimator & Project Manager’s role is to communicate with new and existing customers to provide pricing, get the project approved, schedule and make sure the job is completed as planned. Once projects are approved, the Office Administrator would then need to prepare the work orders, order materials, and prepare the materials for a quick start the following morning. Immediately upon job completion there will need to be an invoice created. It will be expected that the office is organized for maximum efficiency when preparing and restocking trucks. There is a responsibility for tracking key metrics that you will need to generate for weekly, monthly, quarterly, and yearly reports. Along with these roles, there will be general company administration related to Taxes, HR, Vehicle, Accounts, and IT.

1 BUSINESS DEVELOPMENT:

Critical thinking that results in improving our systems, the efficiency of communication, quoting, paperwork, invoicing, etc.

2 PREPARATION:

All paperwork and materials are prepared for all approved upcoming projects and can maintain an organized office inventory, so we are prepared for spontaneous small projects.

3 COST MANAGEMENT:

Order cost of materials and overhead items only when excess stock is used up. When orders are needed, finding the most cost-efficient place to buy and pickup/ deliver.

4 FOLLOW-UP WITH TEAM & DEADLINE MANAGEMENT

Use alerts, reminders, and calendars to make sure that opportunities, projects, communications, and administrative tasks get done on time. This includes making sure the team is following up with customers and deadline management.

5 SAME DAY/NEXT DAY INVOICING:

Send invoices for deposits, progress, and completed projects same day or the following day. No later.

  • Keep the office, paperwork, and computer files super organized.
  • Think outside of the box on ways to improve our systems and processes to keep overhead cost down and increase profitability.

Salary:

$35,000 – $45,000 + Profit Share

Benefits:

After 3 months you will be given an HSA/WSA (health Savings account/ wellness savings account) totaling $1000/yr + rollover.
